Microsoft Personal Bookings: Overview and Setup Guide

Microsoft Personal Bookings allows individuals, such as faculty, staff, advisors, and tutors, to share their availability so others can self‑schedule appointments without back‑and‑forth emails.

Personal Bookings is ideal for one‑to‑one scheduling, including office hours, advising, tutoring, and consultations.

What Is a Personal Bookings Page?

A Personal Bookings page lets you:

  • Share your availability with students, colleagues, or external attendees
  • Allow others to schedule time with you based on the availability you choose
  • Automatically add scheduled appointments to your Outlook calendar
  • Create and manage your own appointment (meeting) types, such as:
    • 30‑minute advising sessions
    • Office hours
    • Consultations
  • Offer online meetings through Microsoft Teams, with meeting links created automatically

Personal Bookings is designed for individual scheduling, not team or department scheduling.

How to Access Microsoft Personal Bookings

  1. Sign in at the SMSU Email and Microsoft Apps page.
  2. Click the App Launcher in the upper-left corner of the page, then select More apps
  3. Open the Bookings app.

Set Up Your Personal Booking Page

Step 1: Define Your Availability

Under Personal booking page, create a meeting type and set your availability:

  • Choose the days and times you are available
  • Set meeting durations
  • Add buffer time before or after meetings, if needed

These settings help prevent scheduling conflicts and reduce back‑to‑back appointments.

Step 2: Create Your Meeting Types

Common meeting types include:

  • Office Hours
  • Advising Session
  • Consultation
  • Tutoring Appointment

Each meeting type can include:

  • Meeting duration
  • Location (Microsoft Teams or in person)
  • Optional custom questions for attendees

Meeting types help you organize your schedule and clarify expectations for attendees.

Step 3: Publish and Share Your Booking Page

  1. Select Publish.
  2. Copy your personal booking link.
  3. Share the link through:
    • Your email signature
    • D2L Brightspace course pages
    • Department or program websites

Attendees will only see the availability you choose to share. They will not see your full Outlook calendar.

Managing Your Appointments

With Personal Bookings, you can:

  • View and manage appointments in the Bookings app or Outlook
  • Reschedule or cancel appointments
  • Automatically send confirmations and updates to attendees
