Employee Exit - Phone

Overview

The Employee Exit – Phone service is used to manage the deactivation and return of phone‑related services for an employee who is permanently leaving SMSU.

This service helps ensure that phone access is removed appropriately and that university‑owned phone equipment is recovered to maintain security, compliance, and continuity of service.

When to Use This Service

Use this service if an employee is:

  • Permanently leaving SMSU
  • Retiring or separating from employment
  • No longer requiring phone access due to an employment exit
Do not use this service for employees on sabbatical or temporary leave.

What This Service Includes

When you submit an Employee Exit – Phone request, the support team may assist with:

  • Deactivating Zoom Phone numbers and extensions
  • Disabling softphone access on computers or mobile devices
  • Collecting or reassigning physical desk phones
  • Updating voicemail settings, greetings, or ownership
  • Ensuring phone services are properly secured and documented

What to Include in Your Request

To help ensure timely and accurate processing, please include:

  • The employee’s full name
  • The employee’s department
  • The employee’s phone number or extension
  • The employee’s last working day (if known)
  • Whether the employee uses a physical phone, softphone, or both
  • Any special instructions (such as number reassignment or voicemail handling)

Providing complete information helps the support team handle the exit efficiently and reduce service disruption.
